The participants who require a visa to travel to China are advised to apply for the visa with the Chinese Embassy/Consulate nearest to their place of residence 2 MONTHS before their departure. They also need to ensure that their passports are valid for at least six months on the day of their departure for China.

They can apply for either L Visa or F Visa . If they need an F Visa, a letter of invitation from the conference committee may smooth the application process. Any request of invitation letter is welcomed, however, please be sure that you’ve filled in the table about your personal information and send it to regsces2016@zju.edu.cn. Along with the table of personal information, please also send the scanned copy of your passport(the page with your photo and personal information on it).When we receive your request, we’ll cope with it as soon as possible.

It is advised to consult the nearest Chinese diplomatic mission for more information about the visa application.

2.Registration and payments

The registration desk is located at the lobby of Mengminwei Building (main conference venue).

On-site payments

On-site payments for the registration fee and banquet can be made at the registration desk. Cash and credit cards (Visa, Master) are accepted, but cash is preferred.

Conference Bags collection

Upon presenting yourself at the registration desk, you will receive your name badge and a voucher for the conference bag. You have to pick up your conference bag at the registration desk. Ÿ

You are required to show your name badge in order to enter the conference venues. Ÿ

Student participants with a reduced registration fee are required to show proof of student status upon checking in.

3.Social Events

3.1 Welcome Reception

Location: 3rd floor, Zijin Hall, Zijingang International Hotel (Address: Shenhua Rd. 796, Hangzhou; 紫金港国际饭店 3 楼紫金厅)

NOTE: This event is included with the delegate registration. A reception ticket is needed to enter the hall, which can be found in your conference bag. The cost for an accompanying person is $35.

3.2 Conference Banquet

Date: Wednesday, May 11

Time: 19:00-21:00

Location: Hangzhou Cuisine Museum (Address: Huyu Rd. 9, Hangzhou; Tel: +86-571-87921117; 杭帮菜博物馆)

NOTE: The buses will depart from the Opera Building at 17:30, i.e., right after the Prize Ceremony. It takes over one hour to arrive at Hangzhou Cuisine Museum during the rush hour. After the banquet, the same buses will leave the museum at 21:00 and bring you back to the conference hotels. A banquet ticket is required, which can be bought at the registration desk on May 9th, if you haven't prepaid online. The cost is $50 per person.

3.3 Free Lunch

NOTE: The conference provides a free lunch for all registered participants. There will be a special service area for SCES participants in the Dining Hall. Please present your lunch ticket to get food, which can be found in your conference bag.

4. Transportation

Pick-up arrangements on May 8th (Sunday)

4.1 Hangzhou Xiaoshan International Airport (HGH) If you arrive at Hangzhou Airport during the period of 10:00 to 22:00 on May 8, you may get help from student volunteers, holding a board with the conference name on it, around the exit of the Domestic Terminal. There will be a free bus service from Hangzhou airport to the conference site, which will leave roughly at 10:00, 12:30, 15:00, 17:30, 20:00, 22:00. The taxi service is also convenient from the airport and it is about a one hour drive from the airport to the conference site, which costs about 170 RMB/car (about $26). Usually, only cash is accepted by taxi drivers.

4.2 Shanghai Pudong International Airport (PVG) If you arrive at Shanghai Pudong Airport around 12:00pm to 19:00 on May 8, you may also find student volunteers at the exit of the International Terminal, holding a conference board. They will guide you and help you purchase the coach tickets to Hangzhou. Note that there is NO conference bus service from Shanghai Pudong airport to the conference site. Ÿ

By Coach: Tips from Shanghai Pudong International Airport to the conference site PVG àHangzhou (WuLinMen or HuangLong)àZhejiang Uni. (Zijingang Campus). Step 1: Take the Airport Coach to Hangzhou (3hrs,latest coach: 21:00; Price: 110 RMB). Step 2: Take a taxi from Hangzhou to Zhejiang University (Zijingang Campus) or your hotel. Ÿ

By High Speed Train:

PVG àHangzhou East Railway Station or Hangzhou Railway StationàZhejiang University (Zijingang Campus)

Step 1: Take the subway Line 2 directly from Shanghai Pudong International Airport to Shanghai Hongqiao Railway Station (2 hours).

Step 2: Take the high speed train from Shanghai Hongqiao Railway Station to Hangzhou East Railway Station or Hangzhou Railway Station (about 50 miuntes).Tickets may be sold out on a Sunday afternoon if you buy it on site. The latest train departs from Hongqiao Railway Station at around 21:37.

Step 3: Take a taxi at Hangzhou East Railway Station (about 40min; cost: 50 RMB) or Hangzhou Railway Station (about 40min, cost: 45 RMB) to the conference site. A public bus service (No. 93) is available from Hangzhou East Railway Station to Zhejiang University (Zijingang Campus)

By Taxi (recommend): Tips from Hangzhou Airport (HGH) to the conference site It is about a one hour drive and costs about 170 RMB/car. By airport shuttle bus:

Step 1: Take the airport shuttle bus to Hangzhou WuLinMen (about an hour, cost: 20 RMB).

Step 2: Take a taxi from WuLinMen to Zhejiang University (Zijingang Campus) (about 40 minutes, 30-40 RMB).

6. Oral Presentation Guidelines

6.1 Presentation lengths

Plenary talk: 38 min +7 min.

Invited talk: 25 min +5 min.

Prize talk: 20 min+5 min.

Oral talk: 12 min+3 min

6.2 Presentation preparation Ÿ

The conference organizers will provide a laptop in each conference room which is installed with Windows 10 and Power Point 2007. Ÿ

To ensure a smooth transition between speakers, we ask you to copy your PPT file into the conference computer at least one session in advance. We will delete the PPT files after the conference. Ÿ

You can test your PPT files in Room 223, Mengminwei Building during 8:00-17:30.

7. Poster Presentation Guidelines

7.1 Presentation time: Three poster sessions have been scheduled between 13:30 and 15:30 from Monday (May 9) to Wednesday (May 11) in the Stadium. Posters should be put up before 13:00 and removed after the poster session. Any remaining posters will be removed and discarded after 18:00.

7.2 Poster numbers Each abstract has been assigned a poster number. You can find the number of each poster presentation and their presentation time in the Poster Session of this Final Program.

7.3 Poster dimensions Posters should be designed to fit the poster board (120 cm wide and 240 cm high) and our recommended poster size is 100 cm wide and 120 cm high. Tape will be provided. Ÿ All posters are eligible for the best-poster award and will be reviewed by a selection committee during the poster session. Please be around your poster during the poster session.

7.4. Best Poster Award Ÿ The winners of the best poster award will be informed by Thursday, May 12th. Ÿ We will give awards to the ten best posters in the concluding session. The award includes a certificate and 1000 RMB cash.

8. Exhibitions

The exhibition zone is located in the lobby of Mengminwei Building.

Exhibitors are scheduled to set up their exhibition in the afternoon of May 7, 2016.

Time for exhibition:

Time for dismantling:

May 13: 15:00-18:00

9. Currency and Banking

The Chinese currency is RMB.

Chinese banks are typically open at 9:00 and close at 16:30 from Monday to Saturday. ATMs from several major Chinese banks are available in or near the campus. Visa, Master and other major debit/credit cards may be used. However,we recommend you to exchange the currency at the airport. Note that only cash (RMB) is accepted by taxi drivers and some restaurants.

10. Electricity

The standard voltage in China is 220V, 50 HZ, AC.

The outlet is three-pronged and you are recommended to bring your own adaptor.

Early May is a comfortable season in Hangzhou. The average temperature typically ranges from 20oC to 30oC.

13. Medical Facilities

Participants who are currently on medication should bring an adequate medical supply since the medication may not be available locally. Please inform the organizers in advance should you have major medical concerns. Participants are responsible for their own expenses incurred from medical services. It is recommended that the participants obtain adequate travel, health and accident insurance before departure from their home country.
